Mechanical specifications for print materials
• Art files should be at least 300 dpi at desired print size and originate in Adobe Photoshop, Adobe Illustrator, or comparable program.
• High-resolution press-ready PDF or native files required. PDF must have fonts embedded. Layout files should be in QuarkXpress, Adobe InDesign, or comparable program.
• All colors must be CMYK.
• Some file types are unacceptable, and may include, but are not limited to, Corel Draw, Microsoft Publisher, Microsoft Word and PowerPoint. The publisher cannot be held responsible for problems on press caused by incorrect files.
• You must send your files/artwork in the following formats: .AI, .EPS, .QXD, .TIF, .JPG (compressed) or .PSD. Please note the difference between the photographic image (.TIF, .JPG, .PSD) and a vector or line art file (.AI, .EPS).
• The publisher/printer cannot be held responsible for problems on press caused by the submission of incorrect files. Send your files early: you may be required to resubmit artwork.

Advance Program & Registration Brochure:
Trim size is 8-1/2” x 11”. If ad/ artwork is to bleed then the file size needs to be 8 3/4” x 11 ¼”. We need 1/8" beyond trim size setup in file to accommodate bleeds.

Calendar Card Advertising:
Trim size is 2 ¼” x 3 ¼”. If ad/artwork is to bleed then the file size needs to be 2 ½” x 3 ½”. We need 1/8" beyond trim size setup in file to accommodate bleeds.

Doctor’s Bags:
Bag size is 12” x 15“. We need 1/8" beyond trim size setup in file to accommodate bleeds.

Exhibit Hall Literature Bags:
Bag size is 12” x 15“. We need 1/8" beyond trim size setup in file to accommodate bleeds.

Final Program Book Ads:
Trim size is 8 ½” x 11”. If ad/artwork is to bleed then the file size needs to be 8 ¾” x 11 ¼”. We need 1/8" beyond trim size setup in file to accommodate bleeds.

Meeting Reminder Advertising:
Trim size is 3 ¼” x 8 ¼”. If ad/artwork is to bleed then the file size needs to be 3 ½” x 8 ½”. We need 1/8" beyond trim size setup in file to accommodate bleeds.

Program at-a-Glance:

Spiral Meeting Notebook:
Trim size is 6” x 9”. If ad/artwork is to bleed then the file size needs to be 6 ¼” x 8 ¼”. We need 1/8" beyond trim size setup in file to accommodate bleeds. No type should be closer than 3/8” from trim area. Avoid putting any type closer than 3/8” from the left binding edge, so it doesn’t get punched through when the wire binding is put on the book.

Submitting ad materials
• All ad materials must include a color proof, regardless of the method used to send them. Without an accurate color proof, the publisher cannot be held responsible for the color outcome.
• Art files, layout files and all fonts may be submitted on disk (CD) with a hard copy proof to Beata Rosa at Address: Washington Professional Campus, 900 Route 168, Suite A-2, Turnersville, NJ 09012 (Please include the publication name and the advertiser name when submitting.)
• Failure to follow these guidelines may require additional time and cost and/or sacrifice reproduction predictability. The publisher is not responsible for the final reproductive quality of any materials provided that do not meet the defined specifications of the publication. While every effort is made to preserve advertising materials in their original condition, publisher is not responsible for lost or damaged advertising materials after publication.

How to participate in the Doctor’s Bag
• Reserve space in the Doctor’s Bag on or before the deadline.
• Supply a prototype of your insert for approval by Heart Rhythm Society. A copy of the insert must be pre-approved by Heart Rhythm Society regardless of prior approval for other promotional opportunities at the meeting or conference. Early submission is to your benefit. Submit a PDF of your prototype via email to kathleen_lawrence@AFassanoCo.com.
• If changes are necessary, a copy of the revised insert must be resubmitted. Heart Rhythm Society will notify you of final approval.
• Ship the inserts so they are received by the materials deadline. A. Fassano & Company will supply shipping information and form. The sponsor is asked to complete the form and place it on the outside of each box that is shipped. The sponsor is responsible for sending the correct number of inserts. If materials are received by the printed deadline, ADCOM will attempt to verify quantities received and notify advertisers of shortages. ADCOM will not be responsible for shortages due to an incorrect number of inserts received. Please submit an additional three- to five-percent overage to allow for potential growth of room blocks.

Important notes
• Only exhibitors may sponsor.
• All sponsorships are subject to the approval of Heart Rhythm Society.
• A minimum $1,000 late fee will be charged for materials received after the deadline.
• All signed agreements are final. No cancellations are accepted.
• Additional costs will be incurred if advertiser fails to comply with shipping instructions or to fully complete shipping label provided for Doctor’s Bag inserts.
• Doctor’s bag circulation is based on projected attendance an
